It may seem impossible to communicate effectively with all of these barriers standing in the way. Fortunately, there are techniques and methods that you can use that will help you be a more effective communicator both in your personal and professional life. To overcome barriers and effectively communicate, follow the Four C’s of effective communication:

Complete: Your communications should include all of the information that the receiver needs to understand your message. For example, if you ask your friend to go see a movie with you, you need to tell him/her which theater you plan to meet at. Completeness is also important in business communications. If you want to set up a meeting with your coworkers next week, for example, you need to include the date, time, and location of the meeting in your invitation.
Concise: Your communications should be to the point and should not include any redundant or irrelevant information. Being concise allows you to communicate as efficiently and clearly as possible. For example, instead of saying: “My uncle’s birthday party is on Saturday night and my sister and I are going to the mall that morning to get him a gift. But we’re not really sure what to get him because he never seems to like our gifts. Do you want to come with us to help out? We can pick you up at your house—or you can come to my house and we’ll drive you. Either way, it’s up to you. What are you doing Saturday morning?” you could say: “Do you want to come to the mall with my sister and me on Saturday morning to help us pick out a birthday gift for our uncle?” Notice that the latter question includes all of the relevant information while remaining clear and understandable.
Correct: You should use correct grammar, spelling, punctuation, and syntax at all times. Spelling and grammar mistakes can distract from your message and prevent your reader or listener from taking you seriously. When you are composing a letter or an email, you should take the time to review your work to remove any potential errors. When you are speaking with someone face-to-face, you should use words and phrases properly, and be sure to use correct pronunciation.
Courteous: When communicating with another person, you should be aware and respectful of his or her culture, values, and personal background. When meeting someone new, you should avoid making any immediate assumptions about him/her. Instead, greet him/her with a smile and an open mind. It is a good idea to learn about other people’s customs, ideologies, and traditions so that you can become familiar with what is and isn’t acceptable in different cultures.
